USE CASE · FOLLOW-UPS

AI follow-up automation so nothing goes quiet.

AI follow-up automation watches every open loop in your business and chases it on a schedule: the lead nobody answered, the quote with no reply, the invoice past due, the vendor who never confirmed. It drafts each nudge in the right tone, and your people approve anything that reaches a client.

The problem

What gets stuck today.

Follow-ups depend on memory

Whether a quote gets chased depends on who remembered on which day. The quiet ones, usually the biggest, are the ones that slip.

Awkward chasers get delayed

Nobody enjoys the third reminder about an invoice, so it waits another week. Cash arrives later than it needed to, and the delay is invisible.

No one sees the whole list

Leads sit in the CRM, invoices in accounting, vendors in WhatsApp. There is no single place that says what is waiting on someone else.

What your assistant does

Open loops AI follow-up automation closes for you

WhenThe assistantYou or your teamResult
A new lead has had no reply for 2 hours during working time Drafts a short reply using the enquiry and your service details, then raises it in the sales channel with the lead source and what they asked for. The salesperson who owns that lead edits and sends, or reassigns it. The lead gets a human reply the same morning, and the CRM shows who sent it.
A quote was sent 3 days ago with no answer Writes a friendly check-in that references the quote, then a second, firmer note if 7 days pass, each logged against the deal. The account owner approves each message before it goes from their email. Open quotes get a chase at day 3 and day 7, and the pipeline shows which ones went cold.
An invoice is 1, 7 and 14 days overdue Prepares a polite reminder at day 1, a direct one at day 7 and a call-prompt task at day 14, each with the payment link and invoice attached. Your finance lead approves the batch every morning at 9:30 AM; day-14 calls are made by a person. Overdue invoices are chased on a fixed ladder instead of when someone has time.
A supplier or crew has not confirmed tomorrow's delivery by 4:00 PM Sends a WhatsApp confirmation request, repeats it once at 5:00 PM, then lists the unconfirmed items for the coordinator. The coordinator decides whether to phone, switch supplier or tell the customer. Gaps are found the afternoon before, not on the morning of the job.
A contact replies to any chase Stops the sequence for that person immediately, marks the item as answered and notifies the owner with the reply attached. The owner picks up the conversation from there. People are never nudged after they have responded.
Friday at 3:00 PM Lists everything still waiting on a client or vendor, grouped by how long it has been open and what it is worth. You pick the five items worth a personal call on Monday. A one-page "waiting on others" list that replaces the mental tally.
A day with it

What your day looks like.

  1. 9:00 AM

The overnight leads are checked. Two have waited past the reply window, so drafts are queued for the sales owners.

  2. 9:30 AM

Your finance lead reviews the overdue batch: five day-1 reminders, two day-7 notes. One is edited, the rest approved and sent.

  3. 11:15 AM

A client replies to a quote chase. The sequence stops and the deal owner gets the reply with the quote attached.

  4. 2:00 PM

The CRM updates with every message sent today, so no one needs to log a follow-up by hand.

  5. 4:00 PM

Tomorrow's unconfirmed vendor visits get a WhatsApp prompt. Two confirm within the hour; one stays on the coordinator's list.

  6. 5:30 PM

A closing summary shows what was chased, what was answered and what is still open going into tomorrow.

Connects to

The tools you already use.

If a tool has an API or an export, it can usually be connected.

Guardrails

It does the legwork. People make the calls.

Clients hear from a person

Every message to a customer is drafted by the assistant and sent by the account owner. The tone ladder is yours to write and change.

Hard stops on every sequence

A reply, a payment or a manual note halts the chase at once. Disputed invoices and protected accounts can be excluded by list.

Frequency limits

No contact receives more than the number of messages you set per week, so a busy system never turns into spam.

Nothing reaches a client unchecked

The assistant drafts. A person on your team sends.

How we build it

Quoted first. Built to fit.

This isn't a template with your logo on it. Every build starts from how your business actually runs — so there's no off-the-shelf demo, and we won't pretend otherwise.

  1. 01

    Discovery call

We map how your week and your business actually run, and pick the first tasks worth handing over.

  2. 02

A live build on your work

On the strategy call we build one of your real tasks with AI, on screen — your data, not a generic demo.

  3. 03

    Scope and quote

We scope the build with you on a strategy session and quote it in writing — agreed before a single workflow is built.

  4. 04

    Build, connect, hand over

The assistant is wired into your tools, with inputs set up for each person on your team.

  5. 05

    Run and refine

We go live, then tune reminders, reports and sign-offs as your team settles in.

Questions

Will clients know it's software? Follow-up questions

What is AI follow-up automation?

AI follow-up automation is a set of rules plus an assistant that chases open loops for you. It spots a lead, quote, invoice or confirmation that has gone quiet, drafts the right nudge, and queues it for a person to approve. The result is consistent follow-through without anyone keeping a list in their head.

Which follow-ups can it handle?

Unanswered leads, quotes with no reply, overdue invoices, vendor and crew confirmations, appointment no-shows, and documents you are waiting on. We start with the one that costs you most when it slips and add others as the first one settles in.

Why not just use my CRM's built-in sequences?

CRM sequences only see the CRM. A built assistant also watches your invoices, inbox and WhatsApp, so one rule can cover a lead, a quote and an overdue payment together. It stops the moment someone replies anywhere, and it lets a named person approve each client-facing note.

Will clients know it is automated?

Messages go out from your team's own email or WhatsApp number, written to your tone and edited by the person who sends them. Nothing is posted under a bot name. If you prefer to disclose assisted drafting, that is a setting you control.

Can it send without approval?

Only where you choose. Internal reminders to your team can run on their own. Client-facing messages default to draft-and-approve, and you can allow auto-send for a low-risk category, such as appointment confirmations, once you trust the wording and have checked a few weeks of sent examples.

What happens when someone replies?

The sequence for that person stops straight away, and the owner is notified with the reply and the original thread attached. The item is marked answered in your CRM or sheet. The assistant never sends a second nudge to someone who has already responded.
