Refund and Cancellation Policy

Varnan sells professional services and software, not physical goods, so there is nothing to post back to us. What this policy covers is money: when a fee is refundable, when it is not, how to cancel, and how quickly you get paid back.
No physical products. We do not ship anything, so there is no returns or exchange process. Everything below is about cancelling services and refunding fees. Where you have signed a statement of work or master services agreement, that document governs and prevails over this page.
1. The principle
You pay for work. If we have done the work, the fee is earned. If we have not, you should not be out of pocket. We would rather refund a fee than keep money from a client who is unhappy, and we would rather have the conversation early than argue about it at the end.
2. Services
Monthly retainers
- Invoiced monthly in advance and cancellable with 30 days’ written notice. Notice can be given at any point in the month.
- The current month is not refundable once work has started, because the team, media plan and content pipeline are committed for that cycle.
- Any month billed but not yet started at the end of the notice period is refunded in full.
- If you are inside a minimum term, the remaining months of that term fall due unless we agree otherwise in writing.
Project work
- The deposit secures your slot in the schedule and covers discovery and planning. It is non-refundable once work begins.
- Cancel before we start and the deposit is refunded in full, less any documented third-party costs already incurred.
- Cancel part-way and we invoice for work completed and committed costs to that date. Anything you have paid beyond that is refunded.
- On completion and delivery, project fees are not refundable. If the deliverable does not match the agreed scope, section 4 applies instead.
One-off audits, workshops and strategy sessions
- Fully refundable if cancelled more than 72 hours before the scheduled date.
- Inside 72 hours, we will reschedule once at no charge. A second cancellation inside 72 hours forfeits the fee.
- Once the audit or session has been delivered, the fee is not refundable, because the deliverable is the work.
3. Advertising spend
Media spend is not our fee and we do not refund it. Wherever possible, ad spend is billed by the platform directly to your own account, so unspent budget simply stays with you. Where we have paid a platform on your behalf, any unspent balance is refunded by that platform under its own rules and passed to you when we receive it. Money already spent on impressions and clicks that were delivered cannot be recovered from anyone.
4. When the work is not right
If a deliverable does not match the agreed scope, tell us within 14 days of delivery with specifics. We will fix it at our cost. If after a reasonable attempt we still cannot deliver what was agreed, we refund the fee for that deliverable. This is about scope, not preference: a change of mind about direction after approval is new work, quoted separately.
5. Software and licences
For our software products, including Entuer licences bought through our billing provider:
- 14-day refund window from the date of purchase for a first subscription or licence, no reason required.
- Renewals are not refundable. Cancel before the renewal date to avoid the charge; you keep access until the end of the paid period.
- Where a licence has been used heavily within the window, we may decline a refund if the usage clearly indicates the product was consumed rather than evaluated. We will explain if we do.
- If the product does not work as described and we cannot fix it, you get a full refund whenever that happens, not just in the first 14 days.
6. When we will not refund
- Results that fell short of a target, where the work was delivered to the agreed scope and standard. Marketing outcomes are not guaranteed. See the Disclaimer.
- Delays caused by feedback, access or material not arriving from your side.
- Work already performed on an engagement you have decided to end.
- Platform decisions outside our control, such as ad account suspension, where we followed the platform’s published policies.
- Fees for a period during which we were ready and able to work but were prevented from doing so.
7. How to request a refund or cancel
- Email [email protected] with the subject “Cancellation” or “Refund request”.
- Tell us the engagement or invoice number, what you are cancelling, and the reason. The reason helps us improve; it is not a condition of cancelling.
- We acknowledge within 2 working days and confirm the outcome and any amount due within 7 working days.
- Approved refunds are paid within 14 working days to the original payment method or the bank account the payment came from.
Refunds are made in the currency of the original invoice. Currency movement and bank charges between payment and refund are not something we can cover.
8. If you disagree with the outcome
Reply and say so, and it goes to the Director for review. We will give you a written answer within 15 working days. If we still disagree, the dispute process in the Client Service Terms applies. Nothing in this policy removes rights you have under Indian consumer law or the law of your own country.
9. Chargebacks
Please talk to us before raising a chargeback. A chargeback filed without contacting us first freezes the account and the work while the bank investigates, which helps nobody. We keep delivery records and will contest a chargeback for work that was delivered as agreed.
