AI assistant for real estate that keeps every lead warm until closing.

An AI assistant for real estate teams replies to a new lead within minutes, keeps follow-ups going long after the second touch, and chases the documents and dates that hold a closing together. Agents stay in charge: the assistant drafts, and an agent sends anything binding.

The problem

What gets stuck today.

Leads that go cold in an hour

A buyer enquires on a portal while the agent is at a showing. The reply comes that evening, and the same buyer has already booked a viewing with someone who answered sooner.

Follow-ups abandoned after two touches

Most buyers are not ready at first contact. Without a cadence, the lead who would have bought in four months receives two messages and then nothing.

Closings run on phone calls

Inspection dates, lender documents, signatures and deadlines are chased one call at a time by a coordinator, and one missed date can put a deal at risk.

What your assistant does

Lead replies to closing dates: what the assistant handles

WhenThe assistantYou or your teamResult
A lead arrives from a portal or the website Replies by text and email within minutes, asks about budget, timeline and area, and offers three viewing slots from the assigned agent's calendar. The agent confirms the viewing and takes over the conversation. Every lead gets a first reply, and the answers land in the CRM already qualified.
A lead has had no reply for 3 days, then again at 10 and 30 days Drafts a follow-up that refers to the listing or search criteria and any new matching property. The agent edits and sends each message. Leads are worked as a cadence over weeks rather than a burst of two messages.
A deal moves to under-contract status Builds the transaction checklist with dates for inspection, appraisal, financing and closing, then emails the buyer, lender and title contact for missing documents two days before each date. The transaction coordinator confirms receipt and escalates blockers. Missing items surface before the deadline, not on the day it passes.
Every Monday at 8:00 AM Compiles the pipeline: new leads, viewings booked, offers pending, deals closing this month and leads untouched for two weeks. The broker reviews it with the team. The weekly meeting opens with the stalled leads in view.
A listing has been active for 21 days with no price change or new media Summarizes showing counts and buyer feedback from email and drafts a seller update. It suggests no price. The listing agent decides what to recommend and sends the update. Sellers hear from you, with facts, before they ask.
A viewing ends on the agent's calendar Prompts the agent for quick notes, then drafts a thank-you with next steps for the buyer. The agent approves and sends it. Post-viewing follow-up goes out the same day, and the notes reach the CRM.
A day with it

What your day looks like.

  1. 7:45 AM

The agent's brief shows overnight portal leads already answered, three viewing requests, and two buyers due a follow-up today.

  2. 9:30 AM

A lead who asked about a three-bedroom home has replied to the qualification questions. The assistant adds the budget and timeline to the CRM.

  3. 12:15 PM

Five follow-up drafts wait in the agent's queue. She edits two, approves the rest and sends them between showings.

  4. 2:00 PM

A viewing ends. The assistant drafts a thank-you, and the agent adds a line about the garden before sending.

  5. 4:00 PM

The coordinator receives a summary of chasers sent: the lender's letter is still missing, with the closing date eleven days away.

  6. 6:00 PM

A listing reaches day 21. A seller update with showing counts is drafted for the agent to review tomorrow.

Guardrails

It does the legwork. People make the calls.

No pricing or legal advice

The assistant does not offer valuations, price opinions or contract interpretation. Those questions go to the agent, and the exchange is logged in the CRM.

Agents send anything binding

Offers, counteroffers, disclosures and anything that commits a client are written and sent by a licensed agent. The assistant prepares the checklist and the reminder, never the commitment.

Lead data stays in your CRM

Contact details and notes live in systems you already control, and each workflow gets only the access it needs. When an agent leaves, the leads stay with the brokerage.

Nothing reaches a client unchecked

The assistant drafts. A person on your team sends.

How we build it

Quoted first. Built to fit.

This isn't a template with your logo on it. Every build starts from how your business actually runs — so there's no off-the-shelf demo, and we won't pretend otherwise.

  1. 01

    Discovery call

We map how your week and your business actually run, and pick the first tasks worth handing over.

  2. 02

A live build on your work

On the strategy call we build one of your real tasks with AI, on screen — your data, not a generic demo.

  3. 03

    Scope and quote

We scope the build with you on a strategy session and quote it in writing — agreed before a single workflow is built.

  4. 04

    Build, connect, hand over

The assistant is wired into your tools, with inputs set up for each person on your team.

  5. 05

    Run and refine

We go live, then tune reminders, reports and sign-offs as your team settles in.

Questions

AI assistant for real estate: what agents ask first

How is this different from a real estate chatbot or AI receptionist?

A chatbot or answering service handles first contact with a buyer. This assistant also works behind the scenes for the brokerage: it paces long follow-ups, chases transaction paperwork and tells the broker which leads and deals are stalling. Agents approve the messages that matter.

Will it contact leads without the agent seeing the message?

Only for the first reply, and only if you allow it, using wording you have approved. Follow-ups, anything tailored to a property and anything involving price or contract terms are drafted for the agent to review and send. You choose which category runs on its own.

Can it give pricing or legal guidance to clients?

No. The assistant does not provide pricing opinions, valuations or legal advice. When a buyer or seller asks, it routes the question to the responsible agent and logs it in the CRM. Agents send everything binding, including offers, counteroffers and disclosures, so the advice and the commitment stay with licensed people.

Does it work with our CRM and lead sources?

Usually, yes. Portal lead emails, website forms and CRMs such as Follow Up Boss can feed the workflow, and a transaction system can be connected if it has an API or export. We confirm each connection in scoping, before the price is fixed.

Is this useful for a solo agent or only a brokerage?

Both. A solo agent usually starts with instant lead replies and a follow-up cadence, while a brokerage adds transaction chasing and the weekly pipeline brief for the broker. The scope is sized to the team, and either kind of business can have a first workflow live in about a week.

What does AI automation for real estate cost?

It is quoted on a strategy session rather than from a rate card, because brokerages run very differently. The quote follows the workflows, tools and agents in scope, and you get it in writing, with the scope, before anything is built. After handover the assistant runs on your own accounts, with maintenance available monthly or yearly.
